Change of ownership in the Equine Passport
How do I apply for a change of ownership?
The ownership change may be processed via the Oldenburg account or by forwarding the ownership change form. Submission of the equine passport is not necessary.
How much does registration cost?
The fee for change of ownership is 25 euros for members and 135 euros for non-members.
How do I pay for the change of ownership?
You will receive an invoice from us and a link to pay by credit card.
Duplicates
What is the fee for issuing a duplicate?
The fee for issuing a duplicate equine passport and/or ownership certificate is 150 euros.
Who must sign the declaration on oath?
The affidavit must be personally signed by the individual who lost the document and notarized or certified by a notary public or a lawyer (including signature and official seal).
What do I need to send you?
Please send a declaration on oath certified by a notary public or lawyer to our Verband (Grafenhorststr. 5, 49377 Vechta) which should contain the following information:
- You should state that you have lost the original passport or Certificate of Ownership and therefore want to apply for a copy.
- You must furthermore state that the original papers will be immediately returned to the Oldenburg Verband if they are ever found again.
- Universal equine number of your horse (e.g. DE 433330000011)
- Pedigree (sire/dam/dam’s sire)
- Sex
- Breeder, if known
- Color and markings (photo if available)
- Approx. 50 hairs with roots from the mane of the horse (pull the hairs out; do not cut)

How can I register my foal?
What do I need to do first?
Once your mare has been covered, please instruct the respective stallion owner or veterinarian to report the covering to the association.
What should I do when the foal is born?
Please report the birth of your foal to the association. You have the following options to do so:
Please enter your preferred registration date. A list of the available dates can be found under the “Dates” section on our website. If you would like to have your foal registered by a veterinarian, please let us know.
What is the next step in registering my foal?
- Once we have received the foaling report, we will send you the DNA kit for submitting the required hair sample. The hair sample must then be sent to the UC Davis laboratory in California together with our application form.
- Where possible, your foal should be implanted with a microchip by your veterinarian prior to the official registration appointment. Your veterinarian must provide written confirmation of the microchip number. Please use our Microchip Implantation Form for this purpose.
- The required outline diagram will be completed on site by our registration representatives. If you choose Mail-In registration (Vet), we will send you the appropriate form.
What is an Equine Passport and when will I be issued this passport for my foal?
- The Equine Passport (EQP) is a document that contains the pedigree and the breeding performance record of the horse. The passport is the property of the breeding society and always belongs with the horse. If there is a change in ownership of the horse, the EQP is to be given to the new owner. At the death of the horse, the EQP must be returned to the breeding society.
- As soon as you have paid the invoice for the registration of your foal and we have received undisputed results of the DNA analysis, the passport and the Certificate of Ownership [Eigentumsurkunde] for your foal will be sent to you by mail.
- Your foal will also be registered with the USEF, provided that its registration papers are issued during the year of birth.
How much does registration cost?

What happens at a registration event and how do I have to present my foal?
- The markings of the foal will be recorded and the outline diagram created.
- During the award of premiums, the foal is presented in a walk and trot running loose with the mare in hand.
- The foal and the mare should be braided.
- The mare should be presented with a bridle.
How do I present my foal?
- Braided
- The foal must be presented with a halter while data on the foal is being recorded. At the events where premiums are awarded, the foal must be presented to the Evaluation Committee running loose without a halter.
When does my foal receive a foal premium?
Foals, who receive the Oldenburg Foal Premium award on a registration event, meet the Oldenburg breeding goal in terms of type, conformation and movement.

How do I present my mare?
- With snaffle briddle
- Braided
- Without boots or bandages
During a on-farm visit you do not have to braid the mare.
What does my mare have to do for a registration?
She will be presented in-hand at trot and walk.
Assesed will be type, quality of physique, correctness and overall impression.
What do I necceserally need to consider?
The passport/pedigree certificate of the mare needs to be shown under any circumstances.
How do I get a single covering permit?
Please send a signed letter which states, that you wish for a single covering permit for the stallion xy and the dam xx.
We will examine, if the single covering permit can be given. Essential for a single covering permit is that all information about the stallion licensing as well as the recognition for the stallion's performance test or rather successes in sports of a stallion, are provided. You will receive an answer shortly if the single covering permit can be given.

What does a studbook registration cost?
The fee for registering in the studbook is 120 euros.

What does a single covering permit cost and when is the payment due?
The costs are due at the foal registration. An additional amount of 90 euros will be charged.
